If an employee leaves the company, you can deactivate them instead of deleting them.
This makes the license available again, preserves historical data, and allows open tasks to be reassigned properly.
If the employee is still assigned jobs or projects , extro automatically guides you through the reassignment process.
Procedure
Deactivate employees
Open Settings → User management
Under Active, search for the employee you want
Select the three dots on the right-hand side Deactivate
Check open tasks and projects
extro automatically checks whether there are:
open jobs
open projects
available
If there are no open assignments , the employee is deactivated immediately.
Employee is deactivated
The user status changes to Inactive
The license is available again
Reassign tasks and projects (if required)
A message appears Incomplete tasks/projects

Select from the drop-down menu:
a person responsible for open projects
a person responsible for open jobs
Confirm with Assign user and deactivate
Important notes
Recorded hours are retained in full

Time already reported remains visible:
in the project

Services not yet invoiced can still be billed
Hours remain traceable with the employee name and quantity traceable
